Why Labels Matter
The Label Is the Final Decision, Not the First One
A shipping label for a live reptile is not a starting point — it's a confirmation. By the time you purchase a label, you should already have confirmed the animal's health, checked the weather, verified the recipient's availability, identified the Ship Center for drop-off, decided on hub routing or residential delivery, and reviewed your packaging. The label purchase is the last step of a completed preparation, not a shortcut to start one.
Every field on a reptile shipping label has a specific purpose, and an error in any one of them can cause a delivery failure. A transposed zip code delivers to the wrong location. An incorrect service selection could put a live animal on an inappropriate service. A missing hub routing address sends a package to residential when hub pickup was intended. These mistakes are preventable with a careful label review before purchase.
FedEx also requires that live animal packages carry external markings on the outer box — not just the label itself. Live animal indicators on the exterior of the box help handlers throughout the sort facility and delivery network know that the package contains a live animal and should be treated with appropriate care.
HerpShipper's label workflow is built to reduce label errors by organizing the input fields clearly, showing you the rate before purchase, and confirming the service selection. But the data you enter — addresses, weight, dimensions — must be accurate for the label to be correct.

Verify Both Addresses
Read the origin and destination addresses character by character before purchasing. A single transposed digit in a zip code can cause a delivery failure.
Live Animal Marking Is Required
FedEx requires external LIVE HARMLESS REPTILE markings on the outer box. Apply these before you arrive at the Ship Center for drop-off.
Service Selection Is Critical
Selecting the wrong service level — Standard instead of Priority, or overnight instead of ground — can put a live animal on an inappropriate transit path.
Hub Routing Changes the Delivery Address
If using hub pickup, the delivery address on the label is the Ship Center address, not the recipient's home. Confirm this is set correctly before purchase.
Label Fields Guide
What Every Field on Your Reptile Shipping Label Means
Tap each field to understand what it does and what to verify.
Your origin address and zip code — must be accurate for routing and return purposes.
The sender address is your ship-from location. It determines your FedEx zone (which affects pricing) and is where the package returns if delivery fails. Verify the full address including zip code before purchasing. If you drop off at a different location than your home address, the sender address should still reflect your address.
The destination address — a single digit error here can misdirect the package.
For residential delivery, this is the recipient's home or business address. For hub pickup, this is the FedEx Ship Center address. Read every character of the recipient address before purchasing. Zip code, street address, suite or apartment number, and city must all be exactly correct.
FedEx Priority Overnight vs Standard Overnight — this affects delivery timing.
For live reptile shipments, FedEx Priority Overnight (next business morning) is the standard choice. Standard Overnight delivers in the afternoon — still overnight, but later in the day. Verify the service level shows Priority Overnight before confirming the purchase, unless you've intentionally chosen Standard for a specific reason.
Billable weight is the greater of actual or dimensional weight.
Enter the weight of the fully packed box — including foam liner, inner containment, animal, heat or cool pack, and all packing materials. Weigh it on a scale. An underweight estimate may be flagged and corrected by FedEx, potentially creating a billing adjustment. An overweight estimate means you pay more than necessary.
Length, width, and height affect dimensional weight calculation.
Measure your closed, fully packed box in inches. Use the outer dimensions, not inner. These numbers are used to calculate dimensional weight, which may be the billable weight if it exceeds actual weight. Accurate dimensions prevent billing surprises and ensure the rate you saw during comparison is the rate you pay.
Optional fields for your own records and any special handling notes.
Reference fields on a FedEx label can hold your own order numbers or shipment identifiers. These are not visible to the carrier for routing purposes but are useful for your own records. Some shippers use this field to note the species or order number for easy shipment history reference.
Label Review Checklist
Read every field before confirming the label purchase. 0 of 8 ready
External Markings Required
What must appear on the outer box, not just the label.
- 🏷️LIVE HARMLESS REPTILE
The words 'LIVE HARMLESS REPTILE' must appear on the exterior of the box in a visible location.
- ⬆️THIS SIDE UP
Orientation arrows help handlers maintain the correct upright position throughout transit.
- 📦Label placement
The shipping label should be flat, fully attached, and readable. No tape over barcodes.
- ❌No previous labels
Remove or fully cover any previous shipping labels on a reused box to prevent routing confusion.
- ✅Multiple sides recommended
Applying LIVE HARMLESS REPTILE markings on two sides of the box increases visibility throughout sorting.
Hub Routing on the Label
What changes on the label when using hub pickup.
- 📍Delivery address = Ship Center
The recipient address on the label is the Ship Center address, not the recipient's home.
- 👤Recipient name must match ID
The name on the label must match the photo ID the recipient brings to pick up.
- 📞Include recipient phone
Some facilities call the recipient when the package arrives. Include a phone number in the label fields.
- ✅Confirm hold-at-location selected
The hold-at-location or hub pickup option must be actively selected — it's not applied automatically from the address.

Reptile Shipping Labels: A Complete Guide to Every Field and Requirement
Why every label field deserves careful attention
A shipping label is a set of routing and billing instructions for the carrier network. Every field — sender address, recipient address, service level, weight, dimensions — feeds into how the package is routed, priced, and delivered. An error in any of these fields creates a problem that is difficult to fix after the package enters the network.
The most consequential fields are the addresses. A zip code error on the destination address can send a package to the wrong city or trigger a failed delivery attempt followed by a return to sender. For a live animal package, a routing error that adds an extra day or two of transit can have serious consequences. Reading addresses carefully before purchase is the simplest and most effective label review habit.
Service level selection for live reptile shipments
The service level field determines the transit time and delivery window for your shipment. For live reptile shipments, FedEx Priority Overnight is the standard choice — it delivers next business morning to most US addresses and provides the tightest delivery window of any FedEx overnight service. FedEx Standard Overnight delivers in the afternoon, adding a few hours to the transit window.
When reviewing your label before purchase, confirm that the service shows Priority Overnight rather than Standard Overnight or any other service level. In some label workflows, a default service selection may not match what you intend. Always read the service field before confirming.
Accurate weight entry: why it matters for billing and rate accuracy
The weight you enter on the label determines whether you're paying for actual weight or dimensional weight — whichever is greater. If you estimate your package weight rather than weighing the fully packed box, you may enter a weight that is lower than actual. FedEx can correct this weight during processing and add a billing adjustment after the fact.
Get in the habit of weighing every fully packed box on a scale before entering the weight in your label. Include everything: the outer box, the foam liner, the inner containment, the animal, the heat or cool pack if applicable, and any additional packing materials. That full weight is the number that goes on the label. Accuracy here prevents billing surprises and ensures the rate you compared was the rate you actually paid.
Dimensional weight and how it affects your label
Dimensional weight is calculated as (length × width × height) ÷ 139 for domestic FedEx shipments. If this calculated weight exceeds the actual scale weight of the package, FedEx charges based on dimensional weight. For reptile shippers using large foam-lined boxes — especially for larger snakes or multiple animals — dimensional weight can easily exceed actual weight.
When entering dimensions on your label, measure the outer dimensions of the closed, sealed box in inches. Length is the longest side. Width and height are the two remaining dimensions. Enter all three accurately. The rate comparison in HerpShipper uses these dimensions to calculate your billable weight before purchase, so accurate dimensions mean the rate you see matches the rate you pay.

External LIVE HARMLESS REPTILE markings: what FedEx requires
The shipping label itself does not carry all the information that FedEx requires for live animal packages. The outer box must also carry external markings indicating that it contains live animals. FedEx requires 'LIVE HARMLESS REPTILE' to appear on the exterior of the package. Orientation arrows ('THIS SIDE UP') are also standard practice and help handlers maintain the package in the correct position throughout the sort process.
Apply these markings before you arrive at the Ship Center for drop-off. Pre-printed 'LIVE HARMLESS REPTILE' stickers are available from shipping supply vendors. Many reptile shippers apply these to two or three sides of the box to ensure visibility from multiple angles during handling. Missing LIVE HARMLESS REPTILE markings can result in refusal at the counter or inappropriate handling during transit.
Hub routing on the label: what changes
When using hold-at-location routing for hub pickup, the recipient address on the label is the Ship Center address — not the recipient's home address. The recipient name remains the individual's name (to match their photo ID at pickup), but the address lines and zip code reflect the Ship Center. This is a detail that is easy to get wrong if you're used to entering residential addresses.
In HerpShipper's label workflow, the hub lookup tool helps you find the correct Ship Center address and enter it properly in the label. After creating the label, confirm that the delivery address shows the Ship Center location and that the recipient name exactly matches the ID they'll bring to pick up. A name mismatch at the hub can prevent the recipient from collecting the package.
Declared value: an optional field with specific implications
Declared value is an optional field on a FedEx label that indicates the stated value of the package contents. Adding declared value increases the maximum amount FedEx would consider paying in a successful claim and costs a small additional fee. For live animals, the claims process is complex and FedEx has significant discretion — declared value does not guarantee payment for a live animal that does not survive transit.
For high-value reptiles, some shippers add declared value as a precaution. For common animals, many shippers skip it based on the limited practical protection it provides for live animals. If you choose to add declared value, enter the amount you would actually claim — not an inflated figure, which could be considered misrepresentation.
Label purchase timing: the final step, not the first
The right time to purchase a label is after you have confirmed every item on your pre-ship checklist — animal readiness, weather, recipient confirmation, packaging readiness, and hub routing decision. Buying a label before these items are confirmed creates pressure to ship on a day that may not be right.
Many experienced reptile shippers purchase their label the morning of shipping — not the night before. This gives them the opportunity to do a final weather check and recipient confirmation before committing to the label. A label purchased before final confirmation can be harder to change or cancel, and a label purchased for a specific date may create pressure to ship even if conditions change overnight.

What to Avoid
Common Reptile Shipping Label Mistakes
Not reading both addresses before purchase
A single transposed digit in a zip code can send a live animal package to the wrong location.
Selecting the wrong service level
Standard Overnight or any non-overnight service is not appropriate for live reptiles. Always verify Priority Overnight is selected.
Entering estimated weight instead of scale weight
Weighing the fully packed box eliminates billing surprises and ensures the rate you compared is the rate you pay.
Forgetting external LIVE HARMLESS REPTILE markings on the box
The label alone is not enough. Apply LIVE HARMLESS REPTILE markings to the outer box before arriving at the Ship Center.
Entering residential address when hub routing was intended
For hub pickup, the delivery address must be the Ship Center address — not the recipient's home.
Buying the label before prep is complete
A label purchased before weather, recipient, and packaging are confirmed creates pressure to ship on a day that may not be right.
